Core Principle
TravelWithPro's cancellation system is not designed to maximize refunds at any cost, nor to maximize protection for hosts. It is built on one principle: predictable rules, transparent policies, and a risk-based refund structure that reflects what's actually recoverable for the people involved.
Every tier guarantees a meaningful refund window with reasonable notice — no policy traps you into zero refund for cancelling well in advance.
No tier ever requires refunding more than what's typically recoverable from your own vendor commitments — TravelWithPro doesn't ask you to absorb losses on its behalf.
Refund Tiers
Every trip on TravelWithPro follows one of three refund tiers. Each tier defines how much of the trip amount is refunded based on how many days before departure you cancel. These three tiers are the single source of truth — every trip category below simply maps to which tiers it's allowed to use.

Best suited for day experiences, short workshops, and local events — trip types with little to no vendor lock-in.

The default for most multi-day domestic trips — moderate vendor commitments with a balanced refund curve.

For treks, expeditions, and international trips — where hosts commit to flights, visas, and permits very early and irreversibly.
Payment Gateway Charges and the Platform Fee are excluded from every refund tier above, regardless of how early you cancel. See Platform Overrides below for the one exception.
Trip Categories & Allowed Tiers
A day trip and an international expedition should never follow the same cancellation policy — the risk and the host's upfront financial commitment are entirely different. Every trip is classified into a category, and the category determines which refund tiers a host is allowed to choose from.

Why categorization matters
A host running a Delhi heritage walk can usually replace a cancelled seat the same day — flexible refunds work fine. A host running a Kedarnath trek has already paid for hotels, a tempo traveller, a local guide, and forest permits weeks in advance — refunds can't stay flexible without putting the host at a loss. A host running a Europe group tour may have already paid for flights, hotels, visa support, and local operators — for trips like this, only the Strict tier reflects financial reality.
Platform-Level Overrides
A small number of situations override whichever tier was selected, applying the same rule platform-wide regardless of trip category. These take priority over the day-based tier tables above.

How This Is Applied
Every booking resolves to a refund amount through the same sequence:
Group Bookings
For group bookings made under a single booking ID:
- Cancellation of individual seats within a group booking is not permitted.
- The entire booking must be cancelled as one unit.
- Partial refunds for individual passengers within a group will not be processed.
- If one person in a group cannot attend, we recommend exploring the option of a replacement traveller in their place — contact us to facilitate this.
Refund Process & Timelines
Once a cancellation is confirmed, refunds are processed to the original payment method used at the time of booking.
- Refund initiation typically takes 3–5 business days after cancellation confirmation.
- Credit to your account depends on your bank or card provider — usually 5–10 business days after initiation.
- UPI refunds are typically faster — often within 1–3 business days.
- You will receive an email confirmation once the refund is initiated.
