General Rules
These rules apply to all bookings made through TravelWithPro, regardless of trip type, destination, or Host.
- Cancellation charges are computed on a per booking basis — not per person.
- Cancellation charges are calculated based on the trip/service start date & time, not the date you request cancellation.
- For group bookings, cancellation of individual seats is not allowed. The entire booking must be cancelled.
- Bookings cannot be cancelled after the scheduled start time of the trip has passed.
Cancellation Charge Schedule
The earlier you cancel, the lower the charge. Charges are calculated as a percentage of the total booking amount and escalate as the trip date approaches.
Calculate Your Refund
Enter your booking amount and trip start date to estimate your refund if you cancel today. This is an estimate — actual amounts may vary based on gateway fees.
Cancellations by Organiser or TravelWithPro
If a trip is cancelled by the Host or TravelWithPro — due to insufficient bookings, weather, safety concerns, government restrictions, or unforeseen circumstances — you are entitled to a 100% refund of the amount paid.
Payment Gateway Charges
Payment gateway charges and transaction fees are levied by our payment provider (Razorpay) and are not refundable under any circumstances — including in cases of organiser-initiated cancellations.
These fees are typically a small percentage of the transaction amount and are deducted before your refund is processed. The exact amount will be reflected in your cancellation confirmation.
Group Bookings
For group bookings made under a single booking ID:
- Cancellation of individual seats within a group booking is not permitted.
- The entire booking must be cancelled as one unit.
- Partial refunds for individual passengers within a group will not be processed.
- If one person in a group cannot attend, we recommend exploring the option of a replacement traveller in their place — contact us to facilitate this.
Refund Process & Timelines
Once a cancellation is confirmed, refunds are processed to the original payment method used at the time of booking.
- Refund initiation typically takes 3–5 business days after cancellation confirmation.
- Credit to your account depends on your bank or card provider — usually 5–10 business days after initiation.
- UPI refunds are typically faster — often within 1–3 business days.
- You will receive an email confirmation once the refund is initiated.
